Bilingual Executive Assistant (Part-Time), Entrepreneur, Madrid

Our client, a busy entrepreneur, is currently looking for a trustworthy Executive Assistant who can provide support across various business ventures (on a part time basis).

Responsibilities (among others) will include: assisting the Finance Director of one of the portfolio companies (expense reports, bank reconciliation, invoicing, excel reports), acting as the key contact for portfolio companies, submitting weekly reports, liaising with accounting firm (gestoría) to manage payroll for portfolio firms, ordering bank transfers, documentation and archiving (electronic and physical), organising events (invitations, licenses, follow up, etc.) assisting entrepreneur with travel planning and communicating over time zones whilst overseas (one week per month), monitoring ongoing projects and ensuring that deadlines are met and providing ad hoc support to this entrepreneur and various business ventures.

The ideal candidate will be numerate and a self-starter. They should be able to work independently and be able to take the initiative. It’s important that the individual grasps the various business lines and communicates effectively. Previous experience in a similar, multitasking role is a plus. Bilingual English and Fluent French a plus.

Bilingual Executive Assistant, Private Equity, Madrid

Our client, a global Private Equity firm, is currently looking for a motivated, Bilingual Executive Assistant to support various Associates across different business lines (Private Equity, Infrastructure and Real Estate). 

Responsibilities (among others) will include: managing the various Associates’ extensive agenda and travel arrangements (80% of workload) this includes worldwide travel, scheduling meetings across global time zones, management of complicated travel and trips (flights, hotel and coordination) conference calls set up across time zones, development of relationships with EAs of potential investors, current investors and worldwide team of in house EAs. Coordinating with European headquarters, organise materials for meetings (videoconference, iPad setup, data rooms, presentations) and providing ad hoc support as required.

Candidates must have at least 2 years’ experience working as an EA, ideally in the banking (M&A, legal or consulting sector). They must hold a strong University Degree and have an advanced knowledge of the Microsoft Office package (PowerPoint, Excel).   

It is essential that candidates are bilingual, as this role is predominately English speaking. Candidates must be proactive, assertive and energetic. They will grow to fully understand the private equity industry.

Our client, a prestigious British multidisciplinary Law firm are looking for a polished bilingual Team Assistant who can provide support to their busy team of Lawyers.

Responsibilities (among others) include:

Our client, a growing legal firm are looking for a bright bilingual Paralegal to assist a busy, close knit, team.

Our client, an international specialist consultancy firm is looking for a polished Bilingual (Native English speaking) PA & Office Assistant to provide support in their Barcelona based office. 

Responsibilities (among others) include:

Bilingual Executive Assistant, Property Management, Barcelona

Our client, a leading investment firm are looking for an Executive Assistant to support the Real Estate Services Management Director & team based in Barcelona.

Responsibilities (among others) will include: Managing the agenda for the Director and team, organising meetings and any necessary travel for the team, acting as the first point of contact and communicating with landlords, tenants and maintenance service provider for any repair issues, dealing with day to day Estate Management queries, providing helpdesk assistance for both Landlords and Tenants, liaising with European Headquarters in English, physical and electronic archiving, documentation management (rental contracts), receiving visitors, organising couriers and acting as the “go to” person for any administrative need the team may have.

Our client, a boutique advisory firm, are looking for a competent Bilingual Team Assistant to support the CEO, Office Manager and Team.

Bilingual Junior Office Manager, Investment Advisory Firm, Madrid

Our client, a boutique investment advisory firm is looking for a bright and proactive Bilingual Junior Office Manager to help manage their Madrid Office.

Our client, an international HNWI based across various countries, is looking for an exceptional Bilingual (Native English Speaking) Personal Assistant to provide support from the Madrid based office.

Responsibilities (among others) include:

  • Attend Madrid based meetings on behalf of the HNWI, produce summaries and act as a decision maker. Act as “eyes and ears” in Madrid
  • Researching potential projects and ventures, following up and monitoring progress and completion
  • Provide personal IT support (setting up devices)

 The selected candidate will be a Native English Speaker with a bilingual level of Spanish. They will hold a credible degree and must have at least 5-10 years’ previous experience supporting a HNWI or Senior Director in an international environment. They must be able to manage both Mac and PC, Cloud Storage, Microsoft Office and filing systems.

The ideal candidate will be meticulously organised, able to deal with a large amount of information, be confident and exceptionally discreet. This is a full on position for an ambitious PA with energy. A “no task to big/small” attitude is essential as well the ability to grasp concepts quickly.

Our client, an international investment firm is looking for a polished bilingual Executive Assistant who can provide extensive administrative support for their team based in Milan.

Among others, duties will include: EA duties for the Managing Director and  investment team who continuously travel between Milan and Barcelona (agenda management, flights, accommodation, transfers and expense reports), international conference call set up across various time zones,  coordinating with the head Barcelona office and other European offices, developing relationships with client EAs, assisting with presentations, greeting clients, preparing office materials, filing documentation electronically, organise materials for meetings (videoconference, data rooms, presentations) organising catering services and acting as the “go to person” for ad hoc administrative requirements.

Victoria Selection & Search is looking for a student intern to join our team in our Madrid office, just off the Castellana. This is an exciting part-time opportunity. It will be a hands-on position in an English speaking office.

Tasks (among many others) will include:

·       CV screening, scheduling candidate interviews

·       Scheduling of meetings and calls for consultants and candidates
